This policy explains how orders placed with Dongguan Xiangwang Machinery Parts Co., Ltd. (trading as “XW Machinery”, “we”, “us”) are prepared for shipment and delivered. It applies to standard stock items and to made-to-order items manufactured to your drawings or specifications.
Please read section 3 and section 4 together. The total time from placing an order to receiving it is the processing time (preparing your goods) plus the transit time (the carrier moving them to you). These are two separate stages.
1. Where we ship from
Orders are produced and dispatched from our facility at Gangying Fashion Industrial Park, Qingzhang Road, Qingxi Town, Dongguan, Guangdong, China.
2. Where we ship to
We ship to destinations in Africa, Asia, Europe, North America, Oceania and South America. The shipping services, rates and transit times available to you depend on the destination country and the delivery address, and are set out in section 6.
Shipments are subject to case-by-case confirmation for the following destinations, because of carrier coverage, customs restrictions, sanctions and export-control screening: Russia, Belarus, Iran, North Korea, Syria, Yemen, Sudan, Cuba, Myanmar, Afghanistan, Somalia and Palestine. If you are in one of these countries or regions, contact us before ordering so that we can confirm whether, and how, delivery can be arranged.
Delivery may also be unavailable to certain postal codes within a country. If you are unsure whether we can deliver to your address, contact us before ordering and we will confirm.
3. Order processing time
Processing time is the period from order confirmation (including receipt of any deposit agreed in your quotation) to the day we hand the finished goods to the carrier. It does not include transit time.
| Product type | Examples | Processing time |
|---|---|---|
| Standard items | Magnetic powder clutches and brakes, magnetic particle clutches and brakes, tension control system parts and accessories, web guiding system parts and accessories | 3 business days |
| Made-to-order items | Air shafts and air expanding shafts (including strip key / leaf type), differential shafts and ball type differential shafts, and other items built to your drawings, samples or specifications | 12–18 business days after the drawings and specifications are confirmed |
If drawings need to be revised. If you ask for changes to the drawings or specifications after the order has been placed, the processing time starts again from the date you submit the revised drawings. We will confirm the revised schedule with you in writing.
Processing times are working estimates. They may be longer during public holidays in China, for large quantities, or where a special material, coating, machining or testing step is required. We will tell you before production begins if we expect your order to take longer than the times above.
4. Shipping methods
You can choose the shipping method that suits your schedule and budget. The methods available depend on your destination.
| Method | What it normally means | When to choose it |
|---|---|---|
| Economy | Usually sea freight. The lowest cost option, with the longest delivery time. | When cost matters most and the delivery date is flexible. |
| Standard | Faster sea freight service (fast vessel / express sea route). Quicker than Economy, without the cost of air freight. | When you want a balance of cost and speed. |
| Express | Usually air freight. The fastest option, typically around 10 business days depending on the destination. | When the goods are urgently needed, or the shipment is small or light. |
| Rail freight | Rail service, available on selected routes. | Where offered for your destination. |
| Road freight | Cross-border road service, available on selected routes. | Where offered for your destination. |
Not every method is available in every region. The methods offered for your region are listed in section 6. We will confirm the available options and the exact cost for your order before shipment.
5. How shipping cost is calculated
Shipping cost is calculated on the basis stated for the method and region in section 6 — normally chargeable weight in kilograms or chargeable volume in cubic metres (CBM).
- Chargeable weight. Carriers charge on the greater of the actual gross weight and the volumetric (dimensional) weight. Long, lightly packed items such as air shafts can have a volumetric weight higher than their actual weight, so the volumetric weight may be used.
- Flat rate plus additional weight. Some air freight rates are charged as a flat rate covering a first weight bracket (for example 0–5 kg or 0–10 kg), plus an amount for each additional kilogram above that bracket. The bracket and the additional per-kilogram rate are shown in section 6.
- Volume thresholds. Economy sea services in some regions are available only once the shipment reaches the stated volume threshold. Shipments below the threshold are normally sent by air freight.
- Long and oversized items. Air shafts, shafts and other long items are packed in long crates or boxes, which increases the chargeable volume or weight. Rail freight carries an additional charge for each product longer than 1 metre (see section 6, Europe). We will tell you the chargeable weight or volume of your order before dispatch.
The exact shipping cost for your order is confirmed in your quotation or order confirmation before you pay. Shipping is charged in US dollars (USD).
6. Shipping rates and transit times by region
All rates and transit times below are estimates. They vary by country, city and delivery address, by the chargeable weight or volume of your order, by the carrier and by seasonal capacity. The final cost and estimated transit time for your order are confirmed in writing before dispatch.
Ranges shown as business days exclude weekends and public holidays; ranges shown as days are calendar days. Transit times do not include customs clearance, which is outside our control.

7. Free shipping and freight discounts
We do not offer free shipping as a standard term. Whether a shipping charge is reduced or waived is decided case by case, based on the weight and volume of the products ordered and the value of the order.
Orders with a product value of USD 10,000 or more automatically receive a 5% discount on the shipping cost of that order. The discount is applied automatically once your order qualifies; no code or request is needed, and the discounted shipping cost is shown in your quotation or order confirmation.
The discount applies to the shipping cost only, and is calculated on the shipping cost of the qualifying order. Free-shipping arrangements, where we offer one, are confirmed in writing in your quotation or order confirmation. Where nothing is stated in writing, the shipping cost in section 6 applies.
8. Packaging
Goods are packed for export using cartons, plywood crates or treated wooden crates, depending on the weight, length and destination of the shipment. Air shafts, differential shafts and other long or precision components are packed so that the journals, key strips, lugs, valve and machined surfaces are protected from impact and moisture during transit; the shaft ends are protected with sponge / foam padding, and long items are packed in appropriately sized crates or boxes.
If your destination requires heat-treated or fumigated wooden packaging, or a specific packaging standard, tell us before dispatch so that we can arrange it.
9. Tracking your order
Once your order is handed to the carrier, we send you the tracking number and the carrier name — normally within 10 business days of dispatch, by WhatsApp or by email. You can also track your shipment with the “Track Your Order” link in our website menu. Tracking information may take a short time to appear after dispatch, and tracking detail is usually more limited for sea and rail freight than for air freight.
10. Customs, duties and taxes
Shipments from China to most destinations require customs clearance in the destination country. We provide the commercial invoice, packing list and other documents normally required for clearance.
Who pays duties and taxes. Import duties, taxes and customs clearance charges are allocated by the trade terms confirmed in your quotation or order confirmation. Where your quotation does not specify trade terms, these charges are payable by the recipient, and the carrier or customs authority may collect them before delivery. We will confirm which applies to your order before dispatch.
Trade terms. Depending on your order we quote on EXW, FOB, CIF or DAP terms. The term used for your order is stated in your quotation or order confirmation, and carries its standard meaning under the Incoterms rules in force at the time of the order. In summary:
| Term | What it means for your order |
|---|---|
| EXW (Ex Works) | You collect the goods, or arrange collection, at our facility in Dongguan. You bear all freight, insurance, export and import formalities, duties and taxes from that point. |
| FOB (Free On Board) | We deliver the goods on board the vessel you nominate at the agreed port and handle export clearance. Freight, insurance, import clearance, duties and taxes from that point are yours. |
| CIF (Cost, Insurance and Freight) | We pay the freight and insurance to the agreed destination port. Risk transfers when the goods are on board the vessel; import clearance, duties and taxes are yours. |
| DAP (Delivered At Place) | We arrange and pay carriage to the agreed place of destination. Import clearance, duties and taxes are yours, unless agreed otherwise in writing. |
If you are unsure which term applies to your order, or want a different one, contact us and we will confirm it in writing before dispatch.
You are responsible for providing any importer registration, tax identification number or other information required by your country, and for ensuring the goods can lawfully be imported.
11. Damaged, delayed or lost shipments
Damaged in transit. Please inspect your order on arrival. If an item is damaged in transit, contact us within 7 days of delivery with photographs of the outer packaging, the inner packaging and the product, and keep all packaging until the claim is closed. We will handle the carrier claim and arrange repair, replacement or refund as appropriate. See our Returns & Refunds Policy for how damage claims are resolved.
Delayed. Transit times in section 6 are estimates, not guaranteed delivery dates. We will help you track the shipment and follow it up with the carrier. We are not responsible for delays caused by customs clearance, weather, carrier capacity, industrial action, or other events outside our reasonable control. Liability for delay may be allocated differently under the law of your country — see the note at the end of this policy.
Lost. If tracking shows no movement for an extended period, contact us and we will open a claim with the carrier and keep you informed of its progress. Where a shipment is confirmed lost, we will agree with you in writing whether the goods are re-made, replaced or refunded, taking into account the outcome of the carrier claim. Liability for loss may be allocated differently under the law of your country — see the note at the end of this policy.
12. Incorrect addresses, undeliverable and refused shipments
Please check the delivery address, contact name and telephone number in your order confirmation. If a shipment cannot be delivered or is refused because the address is incorrect or incomplete, because nobody is available to receive it, because import charges are not paid, or because it is refused on arrival, the carrier may return it to us or dispose of it. Any re-delivery, storage, return freight or disposal charges that arise in these cases are payable by you. Where a shipment is refused without you having contacted us first, the resulting charges are also payable by you. We will tell you the amount before taking any further step.
13. Carriers
We work with more than one freight provider and select the one suited to the destination of each order, so the carrier may differ between orders. In general:
- Parcels under 2 kg: normally shipped with Yanwen or YunExpress.
- Shipments over 2 kg: handled through a freight agent, currently including Shenzhen Green Logistics Co., Ltd.
We will tell you which carrier or agent is handling your order before or at dispatch. You may also nominate your own freight forwarder to collect the goods from our facility; where you do so, cost and risk transfer as agreed in your order confirmation.
14. Changes to this policy
We may update this policy when our carriers, rates or processes change. The current version is always the one published at xw-machinery.com/policies/shipping-policy, with the “Last updated” date shown at the top. The rates and transit times that apply to your order are those confirmed in writing before dispatch.
